We are growing our team to enhance the care at Marianhill in response to the new Fixing Long-Term Care Act. Therefore, we require more staff. As a result, we are recruiting for an Executive Assistant to the Chief Executive Officer.

Marianhill is a faith based, not-for-profit organization that provides long-term care, complex continuing care, community support services, palliative and hospice care services. Marianhill is accredited with Exemplary Standing.

Executive Assistant

Reporting directly to the Chief Executive Officer, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors, management teams and oversees special projects. Accurate and timely completion of minutes and agendas is required as the Executive Assistant supports numerous Board and Management committees. Organization of all documentation, as per retention and storage policies, is also required. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Qualifications

  • Successful completion of post-secondary secretarial or business training is required.
  • Minimum five (5) years executive level secretarial experience is required.
  • Expert in the use of all corporate productivity tools including Microsoft Office (Excel, Word, PowerPoint, Publisher, 365 Emailing, etc.) as well as Google Chrome.
  • Excellent organizational skills and demonstrated ability to prioritize multiple and changing demands.
  • Excellent interpersonal skills and ability to interact effectively with all levels of the organization/members of the public; experience dealing with volunteer leadership and senior executives.
  • Demonstrated ability to work independently, take initiative and use sound judgment.
  • Ability to work effectively on a variety of priority projects with completion deadlines with a high degree of accuracy, and flexible work hours to meet the demand of operational requirements.
  • Demonstrated commitment to professional growth and development.
  • Oral and written proficiency in English is required.
  • Oral and written proficiency in French is considered an asset.
  • Excellent attendance is essential.

  • Monday to Friday 8am to 4pm with requirement of flexibility as needed to accommodate operational requirements.

Please note proof as per Marianhill policy of required vaccinations, including but not limited to influenza, etc., is required as well as proof of a 2-Step Mantoux TB Skin Test dated within the last year with a current updated 1-Step. You will be required to provide an original, clear vulnerable sector criminal record check dated within the last 6 months and be able to sign a declaration at time of hire. Education certificate, diploma or otherwise must be provided to the Employer and you must participate in the N95 Mask Fit Testing Program as applicable.
