Job Description
Purpose of Role

The Scheduler is responsible for the scheduling of the daily tasks (Tasks), the Change of Occupancy (COO) and the Small Projects (SP) with the sub-contractors and Dexterra trades. The Scheduler is responsible to ensure CFHA, the Managers and supervisors are kept up to date with the status of the Tasks, COO and SP.

Responsibilities

Tasks – book appointments for Dexterra employees. Follow up with Subcontractors.

  • Keep CFHA and Manager informed of process. Manager will be cc’d on all CFHA correspondence. All details will be tracked with Concept and Excel Spreadsheets.
  • Inform CFHA and Manager if extension is needed based on information from the Dexterra employee or subcontractor
  • Inform CFHA and Manager of completion.

COO (Change of Occupancy)

  • The Scheduler will determine who will complete the work – either sub-contractors and/or Dexterra trades.
  • Schedule is sent to all sub-contractors and/or Dexterra trades involved with the COO so they are informed.
  • Copy of schedule to all Dexterra trades involved.
  • Manager or Supervisor will keep Scheduler informed of all aspects along the way.
  • Inform CFHA and Managers, upon completion

SP – Special Projects

  • Scheduler to discuss who is assigned and what the expectations are.
  • Supervisor to contact sub-contractors/Dexterra employees with information on the SP that is to be completed.
  • Dexterra Employee/Subcontractor to inform Scheduler of all aspects along the way.
  • Once start date is confirmed, the appointment will be inputted into the COO/SP schedule.
  • Financial
  • Use computer software to prepare invoices and financial statements
  • Code and file financial material according to records management procedures
  • Assist with financial reports as required

Reporting

  • Ongoing-Daily tasks – Updating Concept notes and completions
  • Ensure all works are being completed in timelines allowed.

Financial

  • Use computer software to prepare invoices and financial statements
  • Code and file financial material according to records management procedures
  • Assist with financial reports as required

Other

  • Any other work as assigned by Manager.
Qualifications

  • Excellent communication skills including listening, probing, reading, and writing
  • Experience working with a diverse staff component
  • FM or construction environment experience
  • Capable of remaining calm in stressful situations
  • Strong invoicing/financial experience
  • Able to multi-task as required
  • Computer literate with the use of Microsoft Office Suite-Strong Excel
  • Must be able to use a smart phone
  • Must be a self-starter
  • Must attend meetings as required
  • Must participate in educational programs and in-service training
  • Must maintain required logs –timesheet, mileage, invoices, safety logs and others as required
  • Strong evidence of reliability, punctuality, and attendance at previous workplaces
  • Must have a professional appearance
