Description:
Located approximately 150 kilometers northwest of Ottawa, Pembroke Regional Hospital delivers a broad range of acute, post-acute, outpatient and diagnostic services to a population of approximately 55,000 residents. With the dedicated support of 750 staff members, an engaged physician community and hundreds of volunteers, Pembroke Regional Hospital provides acute services in emergency and intensive care, medical/surgical care, acute mental health, orthopaedics and obstetrics. The hospital has a full range of rehabilitation services, is the designated district stroke centre for the region, and provides community-based mental health services throughout Renfrew County.

The Pembroke Regional Hospital is recruiting for an Administrative Resource. This is a full-time position working Monday to Friday, 8:00am-4:00pm.

Responsibilities:

  • Provides administrative support or other support as assigned
  • Provides physician recruitment initiatives by assisting with site and community visit planning logistics
  • Provides logistical support for a number of committees and working groups including scheduling, agenda and minute template formation, meeting package preparation and minute taking
  • Assists with maintaining and updating physician on-call schedules
  • Responsible for logistical components of event planning (i.e. meetings, travel arrangements, catering, room bookings, etc.)
  • Assists in special projects, forms development, databases, aggregating data and metrics compilations and in the day-to-day operation of the office of administration
  • Provides inter-office coverage for other administrative or executive assistants and administrative resources
  • Other duties as directed – photocopying, shredding, filing, drafting routine correspondence, etc.
  • Performs work in accordance with the provisions of the Occupational Health and Safety Act and regulations which includes but is not limited to: being familiar with the health and safety program, working in a safe manner using the equipment and protective devices require, participating in the identification of workplace hazards, reporting immediately any incident/accident, hazard or hazardous condition to the immediate supervisor or delegate
Qualifications
  • A minimum of a two-year diploma in office administration from a community college or equivalent combination of education and experience
  • A minimum of two years of relevant experience; office setting experience is preferred
  • Minute-taking skills
  • Ability to maintain databases
  • Proficiency in MS Office Suite and Adobe Acrobat applications
  • Demonstrated minimum typing ability of 60 wpm
  • Excellent interpersonal skills
  • Excellent oral and written communication skills
  • Excellent frontline customer service skills emphasizing confidentiality, tact, diplomacy and following protocol
  • Strong organizational skills and ability to balance multiple priorities and work within deadlines
  • Ability to work independently and as part of a team
  • Ability to adapt to a changing and fast-paced environment
  • Embodies the LEAN ideology by actively and continually seeking opportunities for continuous improvement.
  • Must have demonstrated ability to meet the attendance standards of the hospital
  • Bilingualism preferred (French-English)
  • A medical terminology certificate is an asset
  • Experience working in medical affairs or with physicians is an asset
