Description:
North Renfrew Family Services (NRFS) is a non-profit agency providing confidential counseling, advocacy and support to individuals and families of all ages in Deep River and area since 1968. NRFS is a community-based and supported service, a member of Family Service Ontario and the Renfrew County United Way. We are located in the Medical Building at the Deep River and District Hospital.

 

North Renfrew Family Services (NRFS) is currently accepting applications for the position of Office Manager. This is a regular, part-time position working 10:00am to 3:30pm, Monday to Friday.

 

The Office Manager’s primary responsibility is to support the smooth operation of North Renfrew Family Services (NRFS) office, especially in serving clients at the front desk, managing intakes, bookkeeping, and all general clerical duties to support counsellors, the Executive Director, and the Board of Directors.

 

Responsibilities:

 

  • Attend to incoming calls and drop-ins during business hours
  • Support counsellor scheduling, handling of client intakes and general administration
  • Support client needs
  • Manage bookkeeping and ledger administration with monthly reports
  • Track targeted funds and spending and provide statistical monthly reporting
  • Regular collection and processing of mail
  • Manage banking deposits and withdrawals, and track account balances on a regular basis
  • Promptly Issue tax receipts and thank-you notes to donors
  • Develop posts for social media and updating the website
  • Manage promotional materials (e.g., brochures, website, social media, newspaper ads, etc.)
  • Support and represent NRFS for established fundraising activities and related projects (e.g., Christmas basket program, annual general meeting, special events, etc).
  • Coordinate photo ops with donors and advertisements with local news outlets
  • Monitor and order office supplies as needed
  • Run errands such as banking, picking up supplies and mail
  • Support good relations and liaise with North Renfrew Family Services partners and referral agencies
  • Recommend and support any administrative process improvements as needed
  • Support any development or review processes for grant or funding applications
  • Manage good filing systems and practices for the office
Qualifications
  • Previous experience in an office management role or a combination of education and related experience
  • Ability to track multiple tasks and ensure deadlines are met
  • Excellent customer communication skills
  • Adept at posting on social media forums and comfortable learning website updating
  • Exceptional skills with Microsoft Office
  • Comfortable with general bookkeeping tasks and learning accounting programs
  • Experience with fundraising and working with donors
  • Demonstrated and proven ability to work as a member of the health care team
  • Exemplary interpersonal, communication and organizational skills
