Executive Assistant to the Director of Education

Renfrew County is located in the heart of the Ottawa Valley in Eastern Ontario and stretches from the outskirts of Canada’s capital. The district covers an area that reaches to Deep River in the northwest, Arnprior in the east and the edges of Algonquin Park in the south.

We are currently recruiting for an Executive Assistant to the Director of Education. This is a full-time position working 35 hours per week, 12 months of the year, during normal business hours of 8:30am to 4:30pm. Regular evening and weekend availability is required for board meetings, as well as on-call requirements for emergency situations. This role has a start date of August 10, 2026 or earlier.

Responsibilities:

Executive Leadership Support

  • Manage the Director of Education’s calendar, prioritize meetings, screen inquiries, and prepare correspondence, reports, and presentations.
  • Manage operational budgets under the director’s office and act as the primary liaison with the Ministry of Education and key community partners.
  • Support the Director of Education with a variety of priorities and tasks.

Board & Governance Support

  • Provide expert-level governance support to the board of trustees by scheduling meetings, advising trustees on required reports, and tracking trustee requests.
  • Lead the preparation of board meeting agendas, compile meeting packages, and attend board and committee of the whole meetings to record accurate minutes and action items.

Committee & Senior Team Support

  • Provide executive-level support to board committees (e.g., policy review committee, parent involvement committee) and the senior team by coordinating timed agenda items, attending meetings, recording minutes, and tracking alignment on key initiatives.

Administrative Procedures & Communications

  • Support the director’s office in coordinating the review and revision of administrative procedures to ensure alignment with board policies and regulatory requirements.
  • Collaborate closely with the communications officer to draft communication materials, align the director’s key messages, and support public presentations.

Project Management & Administrative Systems

  • Assist with special projects like the strategic plan, develop effective filing systems, manage travel arrangements, and process expense reports.
  • Ensure the timely collection, validation, and submission of June and October Ontario School Information System (ONSIS) data.
Qualifications
  • A minimum of a two-year executive assistant college diploma or equivalent is required
  • A post-secondary diploma or degree in executive office administration, business, communications, or a related field is highly preferred
  • Five to seven years of experience working in a lead administrative or executive assistant role, ideally within an education or public sector environment
  • Exceptional organizational, time management, and multitasking skills
  • A strong attention to detail and the ability to manage competing priorities
  • Proficiency in Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook), Google Suite, and other office software tools
  • High level of professionalism with the ability to handle highly sensitive information, maintain strict confidentiality, and demonstrate political acuity
  • Exceptional interpersonal skills to foster a collaborative work environment, build strong relationships, and support colleagues

Assets:

  • Experience working with senior leadership, boards of trustees or directors, and governance structures
  • Additional training in project management, education administration, or equity, diversity, and inclusion
