SUMMARY:
To provide program assistance and support for day-to-day program-related matters at Nigig Nibi Ki-win Gamik Society. Must be ready, willing and able to develop and maintain a good working relationship with all Nigig staff, local and associated organizations and associations, as well as business associates of Nigig Nibi Ki-Win Gamik Society (“Nigig”), including community and community partners.
The Program Support Staff provides a complete range of professional support to the Programming team and assists in the facilitation of culturally and/or socially relevant programming to promote wholistic wellness for Algonquin children, youth and families.
The Program Support Staff will provide professional program support with integrity, professionalism, and sound judgement, as well as ensure complete confidentially of information and respects and safeguards privacy entitlements of all members of the community.
The successful candidate will be flexible in schedule and adaptable to changing needs of the programming team and it’s provided services to community. This is a part-time position with hours varying from 12 to 48 hours bi-weekly.
DUTIES AND RESPONSIBILITIES:
- Programming Support:
- Facilitates group activities and programs with children, youth and adults.
- Answers incoming calls and directs accordingly, records messages when appropriate.
- Greets and assists the public and staff with general inquires, directing the public to the appropriate personnel.
- Assists the Program Lead(s) in the facilitation of program plans.
- Organizes, coordinates activities, facilities for meeting places, resource people, transportation for excursions, materials and an agenda for all meetings/workshops.
- In conjunction with the Program Lead, will assist in the meal planning for various programs and facilitate the preparation of meals and snacks as required.
- Runs errands for the gathering of required materials for various programs.
- Documents any occurrences during the course of programming.
- Engages with and keeps community informed of planned events and activities.
- May act as a support person for community committees, if necessary, as related to the program.
- Collects feedback from program participants and collaborates with the department for continuous improvement.
- Community Engagement:
- Supports the Program Lead(s) in the daily management of the program tasks and responsibilities.
- Facilitates culturally relevant programming to our children, youth and families.
- Assists in planning for unique events such as participation in Youth & Elders gatherings, Traditional Teachings, Santa Claus Parades, or other stand-alone events.
- Informs community of planned events, i.e., newsletter.
- Administrative Support:
- Attendance and participation in all programming during the shifts assigned.
- Incoming and outgoing correspondence, activity log, statistics, and time.
- Tracking/monitoring activities.
- Promotes and collets feedback from workshops, programs and events, which may include surveys.
- Tracks/monitors strengths/weaknesses of activities of each group and group function. Quality Management:
- Assists in preparing activity calendars for community and Nigig newsletters as required.
- Promotes and encourages community participation in local or Nigig-specific program activities, notifying parents of activities.
- Ensures accuracy in correspondence, gathering information and communication representing Nigig Nibi Ki-win Gamik Society.
- Risk Management:
- Medium level of risk management is required for this position, however, in exercising judgement and taking self-directed actions within the scope of this work – a level of risk management is expected.
- Ensures compete protection of privacy, confidentiality and safeguarding of private and personal information for all clients/program participants and matters of sensitive nature.
WORKING CONDITIONS:
Work involves extensive public contact with children, youth and adults, the community, other service providers and other Nigig departments and staff; work is subject to deadlines and interruptions. Work involves sometimes handling and dealing with issues of a very sensitive and confidential nature. Work involves a flexible schedule, travel and potentially transporting clients. Work involves standing and/or sitting for long periods of time, as well as active movement.
EMPLOYMENT REQUIREMENTS:
BASIC REQUIREMENTS:
- Post Secondary education related to social services, early childhood education, child and youth worker program, recreation or Grade 12 with relevant work experience/demonstrated capacity to support the role.
- A minimum of a class “G” drivers’ license, access to a dependable vehicle and ability to obtain passenger insurance and clean drivers’ abstract.
- Ability to provide a clear Police Record Check with Vulnerable Sector Screening.
- Must enjoy working directly with children and youth.
- RATED REQUIREMENTS:
Knowledge:
- Knowledge and understanding of AoPFN’s history, community dynamics, children, youth and families.
- Experience with computers, MS software programs, and Internet.
- Experience in general office procedures and practices.
- Experience working with children, youth and families, as well as with the public.
- General knowledge of local prevention services/child and family services programs/services, principles, policy, procedures and with community-based service resources.
- Knowledge of administrative policies and practices.
Abilities:
- Ability to deal with constant interruptions and varied clientele.
- Maintain effective interpersonal relationships with clients, staff, management team, & community.
- Conduct ones’-self in a professional unbiased manner at all times.
- Ability to work flexible hours, which may change from time to time.
- Ability to maintain confidentiality.

Conditions of Employment:
- Maintain a valid Vulnerable Sector Check Screening/ Police Record Check, as required.
- Current CPR & Standard First Aid Certificate, or willingness to obtain.
- Willing work flexible hours up to 24hrs per week, primarily evenings and weekends.
