About The Role

We are recruiting for an Administrative Assistant. This is a part-time position.
What You’ll Do:
- Provide exceptional support to our psychotherapy practice, assisting with client bookings, taking payments, and managing intake and consent forms.
- Welcome clients to the office, answer client calls and emails, and process payments at the end of sessions with professionalism and compassion.
- Develop and implement social media campaigns and interact with the marketing team.
- Ensure all administrative tasks are completed accurately, including following up on payments, securing payment information, and uploading secure documents. Manage booking software, including schedules and treatments offered.
- Keep the office organized, manage office supplies, maintain clinical files, and confirm claims with insurance companies.

- Two to three years of experience in client care and customer service, preferably in a medical office at the front desk.
- Experience in developing and implementing social media campaigns.
- A diploma or degree in office or health administration, or in a related field.
- Excellent communication skills and a friendly, approachable demeanour.
- Highly organized, creative, proactive, and able to think ahead with an entrepreneurial mindset.
- Adaptable, flexible, patient, and can thrive in a dynamic and fast-paced environment.
- Learn quickly; can work independently and collaboratively.
- A passion for helping others and excel as the primary point of contact for clients.
- A dynamic, self-motivated individual who can work independently, proactively, and well under pressure.
- Confident in sharing ideas and constructive feedback to help the practice grow.
- Ability to juggle multiple projects simultaneously, meet deadlines, and follow through on commitments.
- Tech-savvy, with experience using Jane App, Google Drive Suite, Gmail, Mac, Canva, and Windows, as well as navigating and posting on social media platforms.
- Psychology, social work, and psychotherapy undergraduate students and graduates are welcome to apply.
