We are recruiting for a dynamic and highly motivated Executive Administrative Assistant. This is a full-time, contract position from July 2026 to February 2028.
Duties and Responsibilities:
- Serves as a liaison between the President and CEO and various internal and external stakeholders
- Acts in support of the President and CEO dealing with issues within the scope of authority and directing issues which require the attention of others
- Responds to and screens inquiries and escalates more complex issues, prioritizing and determining the appropriate course of action
- Tracking and maintaining corporate records for the management team in compliance with policies and procedures
- Organizing and assisting with internal and external corporate communications
- Attending meetings (board, JHSC, management, and ad-hoc), documenting minutes, tracking and monitoring issues for follow-up
- Ensuring corporate governance framework is properly designed, implemented and maintained; reviewing and updating board policies
- Acting as a key contact for board members on corporate correspondence
- Assembling pertinent information to facilitate decision-making
- Working within company values and policies
- Cultivating efficient communication and positive relationships
- Demonstrating leadership to maintain credibility, trust and support
- Maintaining the security of highly sensitive and confidential matters
- Maintains digital and paper-based filing systems on a regular basis
- Performing a wide variety of administrative support functions for the management team
- Undertaking special projects from time to time by establishing objectives, balancing priorities and managing timelines
- Researching and implementing new technologies and business processes
- Establishing, revising and maintaining office organization and procedures
- Maintaining an accurate and detailed calendar, managing and logging incoming scheduling requests, rescheduling meetings, proactively communicating changes and anticipating and responding to scheduling conflicts
- Liaising with clients regarding customer inquiries and requests for information
- Preparing and distributing written materials, spreadsheets, presentations and emails
- Proofreading and editing documents, including management-level presentations
- Coordinating staff registrations for training programs, courses, and any required accommodations

- Post-secondary diploma or certificate in office administration, executive assistant or related discipline
- 5+ years in a similar role supporting executive-level management
- Strong computer skills; proficient with MS Office (Excel, PowerPoint, Outlook, Word and Teams)
- Experience with managing web-based platforms (Facebook, Twitter, WordPress)
- Formalized writing experience, including board of directors meeting minutes
- Experience in a utility or municipal setting is an asset
- Ability to be self-directed and able to complete projects with limited supervision
- Knowledge of the Ontario Business Corporations Act, shareholder declarations, business agreements and the Employment Standards Act
- Experience organizing meetings and events
- Clean criminal record (must be produced prior to hire)
- Driver’s abstract
